I agree.  Legally, organizations are required to provide donor acknowledgement letters for donations greater than $250.  While there is no legal requirement here to acknowledge the gift of bottle caps, finding some creative and open-hearted way to thank your cap donors can help to strengthen the community’s sense of ownership in the mural.

Have a conversation with the donor first and understand exactly what her expectations are, then help her understand your restrictions.

If you have no budget for stamps, attractive social media posts (including reposts by partner organizations) and, perhaps, news coverage of your unusual initiative might go a long way. Your special volunteer might be enlisted for an interview.....

Everyone likes to be thanked. Maybe there's a quick postcard-type form they can fill out when they drop off their bottle caps, and you can set up a mailmerge for a general "thank you for your hard work to collect caps, you are making a difference" letter.  Then you have their names to invite them to the dedication of the final mural.

Hi!

I’m helping a group of volunteers I work with collect bottle caps to create a bottle cap mural.  Will be a really fun project!

One of the more special volunteers, is insisting that we need to collect contact information to send donor recognition letters for the bottle caps.

We don’t right?

-          They have no monetary value

-          There wouldn’t be anything that they can write off in their taxes

Before I go to battle with this volunteer though I would ask if anyone has any wisdom for me!
