Hi Nisa,

 

Good question, I’m also curious if there’s anything of a standard. For commissions and purchases we ask for an artist bio and statement, and a maintenance info form that goes into every little detail about fabrication and maintenance needs/recommendations. We also request an updated resume for commissions.  We also save any as-builts and stamped engineering documents, which usually the PM has on hand already.

 

There are many other files we keep on permanent record for each project, but these are the ones that come from the artist at the end of a project.

Question for program administrators: what "closeout" documents do you require an artist provide/complete at the end of a project? Do these documents differ if you are commissioning a piece or purchasing existing art? I'm curious if there is a documentation standard across the industry. 

The various closeout documents I've encountered include:

-Title transfer document

-Certificate of Authenticity

-Acknowledgement of ownership

-Final project report with budget

​-Affidavit of Bills Paid (notarized)

-Statement of completion
